Presidency signature workflow
Digital document signing for homeowners associations.
The management office prepares the document and the president receives, reviews and signs it in the Onzane app with a personal digital certificate. Everything remains linked to the request and ready for the next step.
One shared workflow
From the management panel to signing in the app.
Onzane removes scattered exchanges and keeps every document, signer and result within one process.
- 01Prepare
The manager selects the PDF, community and signer, and adds the relevant instructions.
- 02Notify
The president receives a push notification in the language of their app.
- 03Review
The document and its context message can be read comfortably in the app.
- 04Sign
The president uses their personal certificate after biometric verification.
- 05Retrieve
The original and signed PDF remain available in the request for the process to continue.
In the Onzane app
The president signs without leaving the community.
The signature workflow is part of the Presidency area. It separates pending and signed documents and lets the recipient review the PDF before deciding.
- Clear separation between pending and signed documents
- A message from the management office with each request
- Zoomable PDF viewer for comfortable reading
- Push notification with direct access to the document
- Biometric verification before using the certificate
Multi-community control
Every signature request, in order.
The panel provides a global view to prepare, locate and follow documents sent to the presidents of every community.
Requests that require action appear first.
Retrieve the original and signed PDFs from the same record.
Send manual requests or withdraw those that remain pending.
Settings > Security
The certificate remains under the resident’s control.
Any resident can import a personal digital certificate for the operations they choose to perform. The signature workflow uses it when that resident holds the presidency.
- Import password-protected .p12 or .pfx files
- Check expiry, replace or delete it from the app
- Private key protected on the device and linked to the user
- No certificate upload or synchronisation between devices

Answers about certificates, permissions, documents and security.
01Who can use the Presidency signature workflow?
The resident who holds the presidency during the effective dates of the appointment, provided the manager has enabled the feature for that community.
02What does the president need in order to sign?
They need the Onzane app, an active account, a valid personal digital certificate imported on the device and biometric verification before signing.
03Does Onzane store the certificate’s private key?
No. The file and private key remain protected on the device, linked to the signed-in user, and are neither uploaded nor synchronised between devices.
04Can managers view documents from several communities?
Yes. The Administrator Panel provides a global view with search, filters and access to both original and signed documents.
05Can a request be withdrawn?
The manager can withdraw a request while it is still pending. Signed requests retain their result and audit trail.
06How is the president notified?
Every new request creates a push notification in the app language. Tapping it opens the document after the relevant access checks.
