Signature folder for the Presidency

Adding the personal digital certificate to the app

We have added a new feature to the residents' app that allows users to upload their digital certificates—in .p12 or .pfx format—directly to the app.
This enables the digital certificate to be used for actions requiring an Advanced Electronic Signature (AES), such as digitally signing documents (e.g., via the presidency's document signing portal) or casting votes in online polls.
The certificate never leaves the device or the app's secure area—where it is stored in encrypted form—and its use requires biometric authentication on the device.

Governing Team

We have added a new configuration option to the administration panel that allows you to define the community's governing team, including the term of office and a record of past appointments. This enables the administrator to designate individuals as presidents, vice-presidents, board members, or any other desired role.
Furthermore, this setup allows for the assignment of specific functions to these roles, which can be accessed directly via the residents' app. The first and most obvious feature is the "Presidency Area," which includes specific tools and functions tailored for community presidents.

Presidential Signature Portal

A feature called the "Signature Portal" (Portafirmas) is now available specifically for community presidents. It allows presidents to digitally sign documents using their own personal digital certificates—just as they did previously, but now directly from the app.

Property managers can place documents requiring the president's signature into the portal; the president then receives a notification that a new document is pending signature.

The signing process is completely secure, as neither the certificate nor the private key ever leaves the device, and the signing takes place within the device's memory. The resulting document bears the president's signature and remains ready for any additional signatures that may be required.

You can now see the reach of your communications in relation to your target audience. For each communication, there's a new option in the admin panel where you can view its reach, the number of people sent, and the open rate.

Installation Pricing Exceptions

We've added a new Exceptions tab to the installation settings to allow you to define exceptions. Initially, we've included a pricing exception that allows administrators to set an exceptional price for a given installation for a specific date and time period, enabling them to adjust prices for exceptional situations.

Security Deposit Refunds to Original Payment Method

We have implemented a new option for refunding security deposits paid by residents to reserve common areas. It is now possible to refund the deposit to the same payment method used by the resident. In other words, it is now possible to return the deposit to the resident's card if a refund is required.

This is a complex system that first determines whether or not a refund to the original payment method is possible, as certain conditions must be met: the payment method must allow refunds, the refund must be applied to a previously made payment, and the refund must be issued in full as a single payment or wallet top-up. If these conditions are met, the administrator can process the refund to the resident's original payment method and return the amount directly to them without having to refund the wallet or use an external refund method.

Updated Forums with More Features

We've updated the forum features, both for the general community forum and for any forums within resident groups.

Now, anyone who added content, whether a new post or comment, can edit that information and even delete the post or comment.

We've also increased the number of attachments that can be added to each post or comment to eight. Finally, we've added a search function to the forum, allowing residents to search by topic among posts and/or comments.

New Administrator Panel

We've completely redesigned the administrator panel. You can now access the new panel directly. You have options to switch between the current and new panels.

The new panel allows for much more convenient management, as it's organized into administration groups that display the different areas to be managed, depending on the modules enabled for each community. It features a modern design and is optimized for viewing on mobile devices and small screens.

We've also added a dedicated layer for multi-community accounts (property managers, service companies, etc.) where global functions are properly organized and floating menus are eliminated. This work has focused primarily on usability, eliminating duplicate access points to the same area and providing a single point of access for both overall and individual community management.
Control panel

New Management Panel for Rental Agencies

We've added a new management panel, previously unavailable, specifically designed for rental companies and external vacation rental managers. This panel allows them to centrally manage all short-term stays entrusted to them by homeowners.

From this option, managers can create stays with a specific duration, and the system automatically adds and removes tenants. It also offers a specific permissions model for each stay, allowing tenants access to areas such as common spaces or restricted access zones.

This integrates the operations of these agencies into a single platform, enabling them to easily manage stays without having to manually activate and deactivate permissions. It also simplifies the process for homeowners to delegate management tasks to external agencies.

Operational portal for suppliers

New Administration Panel for Suppliers

Suppliers now have their own new administration panel where they can view assigned orders and collaborate with management throughout the execution of their projects.

From the panel, they can:
- Accept or reject an order, indicating the reason.
- Propose execution dates.
- Check the confirmation or rejection of the schedule.
- Start the work.
- Report delays and resume work later.
- Add tracking updates.
- Attach photos, documents, and supporting evidence.
- Mark the work as completed. Management always retains final control over the scheduling and validation of the work.

Community Topology and Asset Inventory

Onzane now allows you to represent the actual physical structure of a community through a flexible hierarchy of buildings, entrances, floors, garages, common areas, technical rooms, sports facilities, and other locations.

Properties can be linked to these locations without altering their administrative organization.
The physical asset inventory is built upon this topology: elevators, pumps, swimming pools, doors, access systems, fire protection equipment, meters, electrical and energy installations, sports equipment, and other maintainable items.
Each asset has a record with information such as manufacturer, model, serial number, operational status, criticality, installation date, commissioning date, warranty, acquisition cost, and estimated useful life. It can also be linked to other components, operational facilities, and supplier contracts.

Automated Preventive Maintenance

Assets can have one or more preventive maintenance plans configured by day, week, month, or year.

Each plan can define:
- Frequency and schedule.
- Execution instructions.
- Priority.
- Assigned supplier and contract.
- Internal responsible party.
- Advance notice required for work.
- Expected completion time.
- Creation as a draft or automatic schedule.

When a due date arrives, Onzane automatically generates a preventive maintenance order linked to the asset. The system prevents duplicates and maintains the schedule and history, even if a plan is subsequently paused or archived.

Comprehensive Work Order Management

Work orders centralize the entire lifecycle of a project, from creation to validation and final settlement.

They can be created manually or directly from an incident, location, asset, or budget allocation. Each order can be linked to the corresponding supplier, contract, internal manager, assets, incidents, tasks, budgets, and invoices.
Onzane now allows you to manage corrective and preventive work orders, inspections, meter readings, projects, and other tasks using controlled statuses: draft, pending budget, awarded, scheduled, in progress, blocked, completed, validated, or canceled.
Each order maintains a unified history with status changes, notes, communications, evidence, documents, inspections, meter readings, and related activity.

It is now possible to configure the information sent when you email each incident notification to community providers, users, or employees.

Our platform is now available in 12 languages. We've just added Polish and Finnish as new additions. They are now available in both the admin panel and the new versions of the Onzane and Onzane Staff apps.

Automatic Translation of Announcements

We want to implement an automatic content translation system so that residents can receive content generated by administrators, suppliers, other residents, and employees in their own language.

To do this, we've started with Announcements. Now, when creating a new announcement, the administrator must indicate the language in which it is written, and can also manually add any of the other languages ​​available on the platform.
For languages ​​not added manually, the system will perform an automatic translation using artificial intelligence and display the content to residents in their translated language.
Both announcement notifications and the view of announcements in a list or in detail are displayed in the language each resident has selected for the app. The application will also offer the option to view the information in the original language.
Currently, documents attached to announcements are not translated, although the administrator can attach them in different languages ​​to be displayed in the app if needed.

Automatic Penalty for No-Shows

We've added a new feature to properties booked through our platform that have an access control system.

This feature allows you to configure an automatic penalty system for properties that make a reservation and then fail to show up.

The system will verify that someone from the property has requested access to the facility during the reservation period. If not, it can create an automatic access restriction, allowing you to configure both the duration of the restriction and the reason for the restriction, which the resident will see when attempting to make a new reservation in the future.

Personalized Avatar Photo

Now each resident can choose their own personalized avatar photo. Previously, residents could only select from a variety of pre-existing images, but now they can add their own.

Communications with Multiple Attachments

It is now possible to send communications with more than one attachment. Unlimited attachments can be added when creating them, and residents will see them correctly.

Vehicle Importer

A new vehicle importer has been added to the administration panel. This tool allows you to upload an Excel file with information about vehicles and their license plates, and the system will then associate them with the different parking spaces designated for residents.

Now, when setting up an online vote, residents can manage proxy voting. This allows them to delegate their vote to another resident. The proxy voter can cast their own vote and can also cast the votes for the person they are designated to vote for.

Italian and Portuguese have been added to the platform. Now, the administration panel, the Onzane app, and the Onzane Staff app are available in 10 different languages.

We have also improved the language selection process, including the flag icon for better visibility.

Off button in reservations

Now, on the details screen of a reservation with an automated lighting system, the On and Off buttons appear. These buttons will be enabled during the reservation period, allowing the person who made the reservation to turn the lights on and off, giving them complete control.

New workflow in Budgets and Collections

We have implemented the ability to generate the fee remittance file as an XML file that can be directly imported into the community's online banking account to issue the community fee remittance. This new option is located in Budgets > Expenditure Groups > Fees > Remittances.

We have also implemented a new workflow in Collections > Operations > Variable Charges, which allows you to import variable charges to issue payments to residents. Examples of variable charges include community heating consumption, which is billed individually to each household.

We have implemented a new feature that allows you to define the payment method for each property in the community. This can be direct debit, bank transfer, or other options. For each payment method, you can add specific account information to enable automated payments.

Proxy Voting in Online Elections

We have implemented a key improvement to the online voting process to enable and manage proxy voting. Now, each owner can delegate their vote to a third party, who must approve it. The delegate can cast their own vote and any delegated votes received.

Document Viewing in Explorer Mode

We've implemented a new document viewing mode similar to Windows Explorer, where the initial list displays folders and documents, allowing you to navigate through them visually.

We've also removed the three-level folder limit, and there's now no limit to the number of folder levels you can create.

Bulk Document Upload

While we already had a way to upload multiple documents simultaneously through a batch process, we've now gone a step further and it's possible to upload multiple documents while maintaining their folder structure.

To do this, if you create a compressed ZIP file containing all the folders and documents you want to add, this file can be uploaded directly to the system and it will automatically add all the included documents, as well as all folders and subfolders, maintaining the original structure of the ZIP file.

Anti-passback System Reset

The anti-passback system, in facilities where it is activated, prevents unauthorized exits from a facility unless there has been prior entry, and vice versa.

Until now, this system operated continuously from the first access, monitoring the situation every time someone attempted to access the facility.
Now, it is possible to activate a daily reset function, so that at the start of each day, the access log is reset, and the anti-passback management process begins anew each day as if it were the first time.

New Facility Blocking Feature

A new feature is now available for employees using the Onzane Staff app. This new feature allows them to manage facility blocking directly through the app. Facility blocking allows you to configure dates, times, and days of the week to block, or rather, disable the booking of that facility. This could be for example, due to maintenance, classes, or other specific needs.

100% Online Voting

We have implemented a new module to enable 100% online voting in communities that require it.

It is now possible to configure an online vote in the administration panel, including census rules, delinquency control, voting questions with their respective majority requirements, and any necessary supporting documents.

In a later phase, we will expand this module to support in-person homeowners' association meetings, where it can be used to register residents and improve the voting process with much faster counts and calculations.

Delinquency Source Definition

It is now possible to configure the delinquency source to be used at a global Community level. Among the available options, this source can be manual, imported via a file, a combination of both, or the existing accounting module in Onzane.

In addition to specifying the delinquency source, you can define what to do with properties that do not have a delinquency record (from any of the indicated sources) and the minimum debt amount at which a property will be considered delinquent.

The first application of this function is to establish reservation permissions for common facilities. You can choose between not applying this delinquency to reservations, applying it to all reservable facilities, or blocking only certain reservable facilities.

Reservation Facilities with Multiple Time Slots and Options

You can now define reservation facilities with different contract options from the Onzane administration panel, allowing you to set different permissions and prices for each option.

Furthermore, you can specify whether reservations can be made for more than one time slot, within a minimum and maximum number of slots. The app will then display the available time slots and their costs to the resident.

We've created a supplier importer to easily import information about community suppliers from an Excel file or similar.
The importer uses an asynchronous process, so it can handle the import of large volumes of data. You can define columns from the file against import fields and start the import process.

Until now, a single reservation permission could be defined for all common facilities, for each property.
We have now implemented a more granular model, which maintains a single reservation permission for all common facilities but adds the ability to define permissions for each facility, including the option to set an end date for any restrictions.

Now, when creating a new document in a group repository, you can choose whether to notify the members of that group.

QR code payments

QR Code Payments

We have implemented a new feature that allows residents to pay for products and services using a QR code generated by a community employee.

This payment method is designed for in-person transactions. The employee first generates a payment request for a specific amount using the Onzane Staff app for employees. This request provides a QR code that is displayed in the app and can be scanned by the resident using the QR Payment functionality in their wallet.

Once the QR code is scanned, the resident can verify the requested amount and confirm the payment with the available balance in their wallet.

The entire transaction is conveniently recorded in the resident's wallet activity and in reports from the administration panel.

New Pass Models

We have implemented new pass models that communities can use to manage passes, membership cards, or invitations, which are often used to control access to facilities such as swimming pools and clubs.
The first model is based on the use of QR codes that residents can purchase, then use or share with third parties, and use in automated or manual access systems. The second model is based on the use of NFC tags issued by administrators, which are used in automated or manual access systems.
In the case of automated access systems, the QR codes or NFC tags are read by QR code or NFC readers installed at the entrance doors or turnstiles. In the case of manual access systems, a community employee will act as a controller and use the Onzane Staff app to read the QR codes or NFC tags and receive information about their validity, as well as additional information such as the resident's photo or outstanding balance.

Organizing political parties in the community

Match Organization Feature

We've implemented a new feature related to booking common areas, and especially to making it easier to organize matches in our sports common areas.

It's now possible to organize matches through Onzane among community residents, easily and digitally via the app.
The administrator can enable this feature for specific community facilities, those where they wish to implement it. A new tab called "Organization" has been added to the reservation-type facilities. In this section, the administrator can choose whether the facility allows direct booking by residents (as before) or the organization of matches.

If match organization is enabled, the administrator can choose how the usage will be charged: only to the organizing property or to all participating properties. The minimum and maximum number of players can also be specified, as well as the time slot will be held while awaiting player confirmation. Finally, you can decide whether you want a match where participants are invited by the organizer, or an open match where anyone can participate. A hybrid mode is also possible, where in an open match participation must be approved by the organizer.
